Overview

check_circleWhat You Get
check

Trigger automations in external apps whenever key events fire in ScaleYourJunk — new job created, job marked complete, new lead captured, or new customer added to your CRM

check

Push data from outside apps into ScaleYourJunk — create jobs or leads from Google Forms, Typeform, Facebook Lead Ads, HubSpot, or any webhook-compatible ad platform

check

Connect to Slack, Google Sheets, Mailchimp, HubSpot, Airtable, Notion, Trello, Asana, and 7,000+ other apps without writing a single line of code

check

Build multi-step workflows that chain actions together — for example, completed job triggers a Google Sheets log row, then a Slack crew-channel notification, then a Mailchimp review-request email

check

Use Zapier Paths to branch logic based on field values — route commercial leads over $500 to one Slack channel and residential under $500 to another automatically

infoWhat This Is Not
close

Zapier is a separate service not included in your ScaleYourJunk subscription — you need a Zapier account starting at the free tier or $19.99/mo for multi-step Zaps and faster polling

close

Zapier does not replace native ScaleYourJunk features — always use the built-in invoicing, CRM, dispatch board, and marketing automation before building external Zaps for the same workflow

close

Complex multi-step or conditional Zaps require Zapier paid plans — the free tier only supports single-trigger, single-action automations with a 15-minute polling delay

What Syncs

Every object, direction, and mapped field — so you know exactly what connects.

New Job (Trigger)

arrow_forwardScaleYourJunk → Zapier → Your App

When a new job is created in ScaleYourJunk — whether from your item-select booking page, a phone call handled by the AI phone agent, or a manual office entry — Zapier fires a trigger. Use it to log jobs in Google Sheets for daily volume tracking, post to a Slack operations channel so your dispatcher sees it instantly, push to an Airtable base for custom reporting, or create a Trello card for crew assignment.

checkCustomer name

checkPhone number

infoJobs created via bulk CSV import may fire dozens of triggers simultaneously — Zapier queues them but your destination app may rate-limit. Stagger imports of more than 50 jobs or add a Zapier Delay step of 30 seconds between actions.

Completed Job (Trigger)

arrow_forwardScaleYourJunk → Zapier → Your App

When a driver marks a job complete in ScaleYourJunk, Zapier fires. This is the trigger most operators use for financial tracking and post-job follow-up. Log the final invoice amount and dump fees to a Google Sheet for weekly P&L reviews, send a Slack message to your owner channel with revenue details, trigger a Mailchimp or ActiveCampaign review-request email, or push completion data to Airtable for custom KPI dashboards.

infoIf a crew marks a job complete then your office reopens it to adjust the invoice, the original completion trigger does not reverse and a second trigger fires when re-completed. Add a filter step checking Job ID to prevent duplicate rows in your tracking sheet.

New Lead (Trigger)

arrow_forwardScaleYourJunk → Zapier → Your App

When a new lead enters ScaleYourJunk — from your website item-select booking, the AI phone agent, a manual entry, or an imported list — Zapier fires. Push leads to HubSpot or Salesforce for multi-touch nurture sequences, log to Google Sheets for daily lead-source attribution, send an instant Slack notification so your sales closer calls back within five minutes, or add the contact to a Mailchimp audience for drip campaigns.

checkLead name

checkPhone number

checkEmail address

checkService address

infoLeads captured by the AI phone agent may have partial data — for example, no email address if the caller didn't provide one. Build your Zap with optional field mapping so it doesn't error when email is blank. Use a Zapier Filter to skip leads missing required destination fields.

post_add

Create Job (Action)

arrow_forwardYour App → Zapier → ScaleYourJunk

Create a job directly in ScaleYourJunk from an external trigger. Common use cases include Google Form submissions from a commercial property manager, Typeform quote requests embedded on a partner website, Facebook Lead Ad form fills, or a webhook from your own custom landing page. The job appears on your ScaleYourJunk dispatch board immediately, ready for crew assignment.

checkCustomer name

checkPhone number

checkEmail address

checkService address

infoRequired fields — customer name, phone, and service address — must all be present or the Zap step fails silently. Add a Zapier Filter or Formatter step before the Create Job action to validate these three fields exist and are non-empty. One operator lost 23 leads in a week because their Facebook form didn't require a phone number.

Setup Steps

Connect in ~10 minutes. Here's exactly what to do.

checklistBefore You Start

check_circleCreate a Zapier account at zapier.com — the free tier works for single-trigger, single-action Zaps with 100 tasks per month and 15-minute polling

check_circleDecide which workflow to automate first — most operators start with New Lead → Slack notification because speed-to-call is the single biggest conversion lever in junk removal

check_circleHave login credentials for both ScaleYourJunk and your destination app ready so you can authorize both during setup

check_circleIf you want multi-step Zaps or faster than 15-minute polling, you need Zapier Starter at $19.99/mo or higher

1

Connect ScaleYourJunk to Zapier

Log in to Zapier and click 'Create Zap.' In the trigger app search bar, type 'ScaleYourJunk' and select it. Click 'Connect' and a pop-up will ask you to sign in to your ScaleYourJunk account. Authorize the connection. Zapier will store this credential for all future Zaps so you only do this once.

warningCommon mistake: If you manage multiple ScaleYourJunk accounts (for example, separate brands in different cities), double-check you are logged into the correct ScaleYourJunk account before authorizing. Connecting the wrong account means your Zaps fire on the wrong business data — one multi-location operator in Tampa ran leads into the wrong brand's CRM for two weeks before catching it.

2

Choose your trigger event

Select which ScaleYourJunk event starts the Zap: New Job, Completed Job, or New Lead. If you're building an action-only Zap (creating jobs in ScaleYourJunk from an external form), skip to step 3 and choose the external app as the trigger instead. Each trigger exposes different data fields you can use downstream.

warningCommon mistake: Do not pick 'New Job' when you actually want 'New Lead' — leads are pre-conversion contacts, jobs are booked appointments. Mixing them up means your Slack channel floods with unqualified inquiries or your lead nurture emails go to already-booked customers.

3

Select destination app and action

Search for your destination app — Google Sheets, Slack, Mailchimp, HubSpot, Airtable, or any of the 7,000+ options. Choose the specific action: 'Add Spreadsheet Row,' 'Send Channel Message,' 'Add Subscriber,' 'Create Contact,' etc. Zapier walks you through connecting and authorizing the destination app if you haven't already.

warningCommon mistake: Watch the Zapier plan limits. Free tier allows only one single-step Zap with 100 tasks per month. If your operation books 80+ jobs per month, a completed-job Zap plus a new-lead Zap will blow past 100 tasks fast. Budget $19.99–$49/mo for Zapier if you run more than one active Zap.

4

Map ScaleYourJunk fields to destination fields

Zapier shows you every data field available from ScaleYourJunk — Job ID, customer name, phone, address, load size, source, timestamps, and more. Map each ScaleYourJunk field to the corresponding field in your destination app. Use Zapier's Formatter step to clean data — for example, formatting phone numbers consistently or combining first and last name into a single field.

warningCommon mistake: Always run a test with real ScaleYourJunk data before turning the Zap on. Field mapping errors are the number one cause of broken automations. One operator mapped 'Service Address' to 'Customer Name' in HubSpot and created 140 contacts named '1425 Oak Street' before anyone noticed.

5

Test, activate, and monitor

Click 'Test Step' and verify the data appears correctly in your destination app. Check the Google Sheet row, Slack message, or HubSpot contact to confirm field accuracy. Turn the Zap on. Check Zapier's Task History daily for the first week to catch errors early. Set up Zapier's built-in email alerts for failed tasks so you never miss a broken Zap.

warningCommon mistake: Do not set-and-forget. Review your Zapier Task History weekly. App updates on either side — ScaleYourJunk or the destination — can break field mappings without warning. A broken lead-notification Zap means your team misses inbound calls, and in junk removal, a 30-minute callback delay drops your close rate by roughly 15–20%.

How to Disconnect

In Zapier, go to My Apps → ScaleYourJunk → Disconnect. Every Zap using ScaleYourJunk will immediately stop running. In ScaleYourJunk, go to Settings → Integrations → Zapier → Revoke Access. Both steps are recommended to fully sever the connection. Reconnecting later requires re-authorizing and re-testing each Zap individually.

Common Issues & Fixes

Symptom → Cause → Fix. Saves you a support ticket.

Symptom

Zap not firing after a new job or lead is created in ScaleYourJunk

Cause

Zapier free-tier polling interval is every 15 minutes — your event happened between polls and hasn't been picked up yet

Fix

Wait 15 minutes and check Zapier Task History. For near-instant triggers, upgrade to a Zapier paid plan which polls every 1–2 minutes. You can also click 'Run' manually inside the Zap to force an immediate check.

Symptom

Data fields showing as blank or wrong values in destination app

Cause

Field mapping is incomplete or mismatched — ScaleYourJunk field names were not correctly mapped to destination fields during setup

Fix

Edit the Zap, re-open the mapping step, and verify each ScaleYourJunk field points to the correct destination field. Re-run the test step with a recent real record. Common culprit: 'Address' mapped to a single-line field when the destination expects separate street, city, state, and zip.

Symptom

Duplicate rows or duplicate contacts appearing in the destination app

Cause

The same ScaleYourJunk event triggered the Zap twice — common during testing, or if a job is completed, reopened, and completed again

Fix

Add a Zapier Filter step that checks Job ID or Lead ID against existing records. For Google Sheets, use a Lookup step to search for existing Job ID before adding a row. For CRMs, use an 'Update or Create' action instead of 'Create' to prevent duplicates.

Symptom

Zap fails with a 'required field missing' error when creating a job in ScaleYourJunk

Cause

The external form or trigger app did not capture customer name, phone number, or service address — all three are required to create an ScaleYourJunk job

Fix

Add required-field validation on your source form so submissions cannot be sent without name, phone, and address. In Zapier, add a Filter step before the Create Job action that only continues if all three fields are non-empty. Check Zapier Task History to find and manually re-enter any leads that failed.
